When setting up scenarios for new emails that will include actions like printing or saving, you can choose to apply these actions only to certain emails. You have the flexibility to create multiple rules based on the email's subject, content, sender, and other criteria. This functionality allows you to easily skip printing or processing unwanted spam or junk emails.
1. Create or edit a scenarios
Go to the scenarios section. Here, you can either edit an existing scenario or create a new one. Once you've made your changes, click 'next' to proceed to step 2.
2. Condition is specific to this scenario
You can add as many rules as you like to determine when a scenario is processed, but keep in mind that adding more rules can make it more complicated to match emails. If an email doesn't meet the specified criteria, the actions in that scenario won't be applied.
Click 'Add a rule', then select the field to test:
- If sender: It is the email address
- If recipient (including TO / BCC / CC): It is the email(s) address(es)
- If subject: Subject of the email
- If date: Date of the received email
- If size: In kilobyte
- If email body: Content of the email
- If has attachment: Flag to indicate if attachment is present or not
- If attachment name: If one of the attachment filename
- If email raw data: Content of full email, including header
- If email priority is: Priority of the email
For each field, you can choose from various operators like Is Equal, Contains, and Doesn't Contain. Simply select the one that suits your needs and enter the required data.
When entering data, you can use a logical operator. If you input one value per line, it implies the use of the logical operator OR.
To combine two keywords with the AND operator, format it as follows: word1%AND%word2.
Additionally, you can use logical operators between rules. By default, each rule is separated by the AND operator. However, if you prefer to separate rules with the OR operator, simply check the appropriate box.
This will let you create condition like this:
IF sender (From) contains @mywebshop.com
AND
(IF subject contains #order
OR
IF email body contains #order)
3. Optionally, you have the ability to specify an advanced scheduler.
This feature allows you to define specific day and time ranges for executing the conditions (rules).
